Ticket Booking Terms and Conditions

  1. Booking online indicates acceptance of our booking conditions.
  2. By booking through our online system, you are registering yourself, or others within your organisation, as paying delegates or exhibition stand bookings for the ALBUM 2025 conference.
  3. Alternatively, if you are a sponsor, an invoice will be emailed to you. Payment must be made within 14 days of the invoice date or within 30 days of the event, whichever is sooner.  Invoices must be paid before the event, failure to do so will result in the sponsor package being cancelled and offered to someone else.
  4. Bookings for specific exhibitor stands to ALBUM members on a priority basis, with stands available to all exhibitors on a first come, first served basis until all stands are paid for in full.
  5. If you are attending as an exhibitor or sponsor, you must supply us with a copy of your Public Liability Insurance, and if bringing a vehicle, a copy of your motor insurance cover.
  6. If you are unable to attend, a substitute delegate is always welcome.  Please email [email protected] to let us know.
  7. Individual members of ALBUM may only use discounted conference places for themselves.  If they are unable to attend, they may only transfer that place to a non-member on the agreement to pay the extra amount applicable.
  8. All cancellations must be made in writing to [email protected]
  9. No refunds will be issued after Friday 25th April 2025.
  10. We may take photos of delegates at our events which could be used for marketing purposes.  If you do not wish for any photos that you feature in to be used in this capacity, please do let us know before the event by email to [email protected]
  11. It may be necessary for reasons beyond the control of the organisers to alter the content, speakers or timings of the events.
  12. In the unlikely event that Nottingham City Transport and ALBUM has to cancel the event, your ticket cost may be reimbursed.  Nottingham City Transport and ALBUM are not able to reimburse you for other costs like travel or accommodation.
  13. All delegates’ details will be kept on our records, but we will not share your contact details with anyone and we will not contact you about anything other than the event you’re booked to attend – unless you have indicated otherwise.
  14. In advance of the event, the delegate list (name, job title and organisation only) will be shared with attendees to facilitate networking and as an opportunity to make connections. This delegate list should not be used for any other purpose, either during or after the event.
  15. Nottingham City Transport and ALBUM is committed to providing access for all. We aim to hold our events at venues that are easily accessible for all. Please let us know your requirements as early as possible via email to [email protected] and we will do our best to accommodate your needs.
  16. If you require a personal assistant or carer to attend the event with you, they are very welcome. Please email [email protected] for further information.
  17. Nottingham City Transport and ALBUM are committed to delivering a safe event for all our attendees. We fully hope to be able to deliver the ALBUM 2025 conference in person, without restrictions to the venue capacity or programme. However, due to recent years throughout the pandemic, in the rare occurrence of further disruption, it may be necessary to deliver the event with added restrictions to comply with Government legislation and/or guidance, venue requirements and/or to ensure the safety of all in attendance.
  18. For all exhibitors/vehicle displays, risk assessments must be done and displays/stands must be safe.

your title, name, email and telephone contact details;

your job title and role;

dietary needs.

Records of communications sent to you by Nottingham City Transport and ALBUM or that we receive from you in relation to an event you will attend/have attended will also be processed.

Nottingham City Transport and ALBUM will process your personal data for the following purposes:

  • To reserve a place for you at the event(s) you desire to attend;
  • To provide you with information about the event(s) for which you have registered, that includes event updates, and possible changes, cancellation or similar information;
  • To provide you with information about accessibility, transportation, parking, etc. that may impact on your attendance to the event;
  • To fulfil and monitor our legal responsibilities, for example, under public safety legislation.

What is the legal basis of the processing?

We ask for your consent to process your personal data for the purposes set out above, and you can withdraw your consent at any time.

Who will your personal data be shared with?

Within Nottingham City Transport and ALBUM , your data is shared only with Nottingham City Transport Buses and ALBUM  departments and staff who need access for the processing purposes set out above.

We may share some of the information with external organisations providing services for the event you are attending, in particular we may share your information (including dietary requirements) with catering service if you are attending an event where catering is offered. The information shared will only be used to provide the service required and will not be retained by these external organisations after the event is concluded.

Photo and video content captured at the live event may also be used for marketing and external content.

How long is your data kept?

The information you provide when you register for an event will be kept for 7 years after the event has occurred.

If you consent to stay in touch with us, essential information to communicate with you will be kept until you withdraw your consent.
